Parents in Kenya do not all use WhatsApp, smartphones or school apps, but every one of them can receive an SMS. That is why bulk SMS is still the most reliable way for a school to reach every parent at once: fee reminders, results, closing dates and urgent notices. This guide shows how schools in Kenya use bulk SMS, with message templates you can copy, what it costs, and how to set it up.
Short answer: a school sends messages to parents from one portal or from its school management system, under its own name as the Sender ID (for example
GRANDOAK). Bulk SMS at Brilio starts from KES 0.70 per SMS on Safaricom, with a one-off KES 7,000 Sender ID per network (KES 14,000 for Safaricom and Airtel). A school with 800 parents sending four messages a month spends about KES 2,240 a month.
Why schools use SMS over WhatsApp and apps
| SMS | WhatsApp groups | School app | |
|---|---|---|---|
| Reaches every parent | Yes, any phone | Only smartphone users in the group | Only parents who install it |
| Needs data | No | Yes | Yes |
| Shows the school's name | Yes, with a Sender ID | Shows a staff member's number | Yes |
| Personal details (name, balance) | Yes, per parent | No, one message for all | Sometimes |
| Private | Yes, one-to-one | No, everyone sees everyone | Yes |
SMS does not replace the school app or the WhatsApp group; it makes sure the important messages reach everyone, including grandparents and guardians with basic phones.
Seven messages every school can automate
Keep each message under 160 characters so it is billed as one SMS. Names and balances in square brackets are filled in for each parent automatically when you upload a CSV with those columns.
- Fee reminder: "Dear [first_name], [student] has a fee balance of KES [balance] for Term 3. Kindly pay by 15 Nov. Paybill 123456, Acc [adm_no]. GRAND OAK ACADEMY"
- Payment received: "Dear [first_name], we have received KES [amount] for [student]. New balance: KES [balance]. Thank you. GRAND OAK ACADEMY"
- Results: "Dear [first_name], [student]'s End of Term results: Mean grade [grade], position [position] of [class_size]. Report forms on closing day."
- Closing and opening dates: "Dear parent, school closes on Fri 21 Nov at 12 noon and opens on Mon 5 Jan. Please arrange transport. GRAND OAK ACADEMY"
- Meetings and events: "Dear parent, the Form 3 parents' meeting is on Sat 8 Nov at 9am in the school hall. Your attendance is important."
- Absence alert: "Dear [first_name], [student] was absent from school today. Please contact the class teacher on 0712 345 678."
- Emergencies: "Dear parent, due to heavy rain the school will close early today at 1pm. Please pick up your child or confirm transport."
What bulk SMS costs a school
| Item | Cost at Brilio |
|---|---|
| Sender ID (school name) | KES 7,000 per network, once; KES 14,000 for Safaricom and Airtel together |
| SMS on Safaricom | From KES 0.70 per SMS, lower as you send more |
| Monthly subscription | None: top up with M-Pesa and pay only for what you send |
Example: a school with 800 parents. Four messages a month (fee reminder, payment confirmations, results, closing date) is 3,200 SMS:
- 3,200 × KES 0.70 = KES 2,240 a month
- Plus the one-off Sender ID
That is less than KES 3 per parent per month to reach every family. See the full rate card on our pricing page and the worked budgets in bulk SMS prices in Kenya.
How to set it up
- Open an account and verify your email. You can test sending straight away.
- Register your Sender ID, your school's name in up to 11 characters, such as
GRANDOAKorSTMARYS. You need the school's registration documents and an authorisation letter. Here is how it works:
- Upload your parents' contacts from a CSV or Excel file exported from your school system: phone number, parent's name, student's name, admission number and balance.
- Send or schedule messages from the portal, personalised for each parent.
- Check delivery reports to see which parents received each message, and follow up those who did not.
If your school management system can make API calls, it can send fee reminders and results automatically through our SMS API.
Five rules for school SMS
- Always sign with the school's name, even with a Sender ID, so forwarded messages make sense.
- Send at sensible times: weekday mornings and early evenings. Avoid late nights and early mornings.
- One message, one purpose. A fee reminder should not also announce sports day.
- Keep contacts current. Update numbers at the start of every term; wrong numbers waste money.
- Respect privacy. Only message parents who gave you their number for school communication, and never send one family's details to another. Kenya's Data Protection Act applies to school records too.

Frequently asked questions
How much does bulk SMS cost for a school in Kenya?
At Brilio, from KES 0.70 per SMS on Safaricom, plus a one-off Sender ID of KES 7,000 per network. A school with 800 parents sending four messages a month spends about KES 2,240 a month.
Can each parent get a message with their child's fee balance?
