Bulk SMS for SACCOs in Kenya: contribution receipts, loan reminders and templates

For a SACCO, every SMS is a promise kept: a contribution received, a loan approved, a repayment due. Members trust a SACCO that tells them what is happening with their money, and they stop calling the office when the answer is already on their phone. This guide shows how SACCOs in Kenya use bulk SMS: the messages every SACCO should send, ready-to-use templates, how to personalise messages from your member list, what it costs, and the rules to follow.

Short answer: SACCOs use bulk SMS for contribution receipts, loan approvals and repayment reminders, overdue notices, dividends and AGM notices. Send from your SACCO's own Sender ID, personalise each message from an Excel member list (name, balance, amount due), and automate receipts from your SACCO system. At Brilio, SMS costs KES 0.70 to KES 0.40 on Safaricom, depending on your top-up.

Why SACCOs rely on SMS

  • Every member has it. Many members, especially in rural areas, use feature phones or rarely have data. SMS reaches all of them.
  • Fewer disputes. An instant receipt for every contribution and repayment ends "I paid but it doesn't show" arguments.
  • Better repayment. A reminder before the due date is the cheapest collection tool a SACCO has.
  • Less pressure on staff. Members check balances and dates on their phone instead of queueing or calling.

9 messages every SACCO should send (with templates)

Copy these and replace the words in [brackets] with your own columns. Once your real names and amounts are filled in, aim to keep each message under 160 characters so it is billed as one SMS.

Dear [name], we have received your contribution of KES [amount]. Your total savings are KES [savings]. Thank you. [SACCO]

2. Loan application received

Dear [name], your loan application of KES [amount] has been received and is under review. We will update you within [days] days. [SACCO]

8. AGM and meeting notice

9. Security alert

Personalise messages from your member list

You don't type 3,000 messages. Export your member list to Excel or CSV with a column for each detail (name, balance, amount, date) and upload it in the portal. Any column name in square brackets in your message, such as [balance], is replaced with that member's value, so each member gets their own figures in one send.

For messages that should go out the moment something happens (a contribution received, a loan disbursed), connect your SACCO system to the bulk SMS API, so receipts send automatically. Any send can be scheduled for later, and promotional campaigns, such as a savings drive, can be set to repeat daily, weekly or monthly.

What bulk SMS costs a SACCO

Brilio's price per SMS depends on the network and your top-up:

Network Starter (up to KES 19,999) Growth (KES 20,000 – 99,999) Business (KES 100,000 – 399,999) Enterprise (KES 400,000+)
Safaricom KES 0.70 KES 0.60 KES 0.50 KES 0.40
Airtel KES 0.80 KES 0.80 KES 0.70 KES 0.60

Example: a SACCO with 3,000 members sending 4 messages a month sends 12,000 SMS, say 10,000 to Safaricom and 2,000 to Airtel:

  • On the Starter rate: 10,000 × KES 0.70 + 2,000 × KES 0.80 = KES 8,600 a month
  • Topping up KES 20,000 at a time (Growth rate): 10,000 × KES 0.60 + 2,000 × KES 0.80 = KES 7,600 a month

Add a one-off Sender ID fee of KES 7,000 per network so members see your SACCO's name. Current prices are always on the pricing page, and Safaricom's own tariff is compared in Safaricom bulk SMS pricing.

Getting your SACCO's Sender ID approved

Your Sender ID is your SACCO's name as members see it, up to 11 characters (for example KAMAUSACCO). Because SACCOs are a regulated sector, networks may ask for your SASRA licence or registration certificate along with the authorisation letter. Avoid protected words like BANK. Read how Sender ID registration works and why Sender IDs get rejected.

Rules SACCOs must follow

  • Consent. Collect members' consent to receive SMS at registration, and record it.
  • Opt-out on promotional messages. Product offers and promotions need a way to opt out; transactional receipts and loan notices don't.
  • Protect member data. Phone numbers and balances are personal data under the Data Protection Act. Keep member lists secure and send each member only their own figures.
  • Never ask for PINs. Your messages should never request PINs or passwords; say so to members (template 9).

Add USSD: let members serve themselves

SMS tells members what happened. A USSD code lets them ask: balance, mini-statement, loan limit, loan application. That works on any phone and is free to the member on a post-paid code. Together, USSD for self-service and SMS for receipts take most routine calls off your staff. See USSD codes in Kenya.

Bulk SMS built into your SACCO system

If you're choosing or replacing your SACCO system, look for SMS built in. SaccoPoint (members, savings and share capital) and LendPoint (loans and digital lending) are built by Brilio, the same team that runs our SMS and USSD platform. Read what to look for in SACCO loan management software.
